The European Menopause and Andropause Society (EMAS) is the host of the virtual EMAS 2021 congress (EMAS 2021). EMAS has entrusted K.I.T. Group as a Professional Conference Organiser (PCO) with the organisation and implementation of the EMAS 2021 as a virtual event.
The following information will provide you with an easy to navigate overview of what will happen with your personal data when you attend the EMAS 2021, visit its website and/or its related sub-sites including the REACT profile website and/or the digital conference platform for the purpose of attending the EMAS 2021.

Abstracts and Speaker Management
In the context of registration and/or submission of abstracts and/or scientific contributions as well as speaker management, various personal information (name, address, contact details, etc.) as well as information required to complete your submission (author status, registration data, membership data, etc.) will be collected. In addition, individual data, and documents (scientific abstracts, application forms, supporting documents, etc.) are collected. These data may – at the discretion of K.I.T. Group – be made publicly available in printed or electronic form, e.g., in the form of abstract books, scientific journals, conference programmes, online databases and catalogues, and on related websites. Speaker data are also processed for the purpose of quality assurance, for example by means of surveys or enquiries about speaker activity. The basis for data processing is Art. 6 (1) lit. b GDPR, which permits data processing for the fulfilment of a contract or for measures in the run-up to a contract. In addition, data processing may also be based on our legitimate interest in a measure (Art. 6 (1) lit. f GDPR) or your consent (Art. 6 (1) lit. a GDPR). Consent can be revoked at any time.
Certificate of attendance
The personal data of the participants (name, address, profession, etc.) are required for the certificates of attendance and, if applicable, a Continuing Medical Education (CME) credit statement. Data processing is carried out based on Art. 6 (1) lit. b GDPR. In addition, data processing may also be based on our legitimate interest in a measure (Art. 6 (1) lit. f GDPR) or your consent (Art. 6 (1) lit. a GDPR). Consent can be revoked at any time.
Data processed if registering for digital and/or other services, digital content, and digital platform.
We transmit personal data to third parties only insofar as this is necessary to fulfil our contract, e.g., to a conference service provider to enable you to register and participate in the digital session or to banks entrusted with processing your payments. Your data will not be transmitted for other purposes unless you have given your express consent to this. Your data will not be passed on to third parties for advertising purposes without your express consent. The basis for data processing generally is Art. 6 (1) lit. b GDPR, which allows data processing for the fulfilment of a contract or for measures in the run-up to a contract. ESOS® (Ordering system for exhibitions and sponsoring)
Various personal information (name, address, contact details, etc.) is collected as part of ESOS® bookings. Depending on the bookings and preferences, payment data (account data, credit card data) may also be collected. Information related to the exhibition and sponsorship may be made publicly available in printed or electronic form, such as conference programmes, online directories or overview plans, as well as on related websites.
Leadcapture and Digital Leadcapture
As part of a lead capture service, personal data (name, address, contact information) is collected and passed on to third parties in the exhibition. These may be used by exhibitors for information and advertising purposes. The processing of this personal data is only permitted with the consent of the data subject for the stated purpose in accordance with Article 6(1)(a) GDPR. The consent can be revoked at any time.
Profile / login data in REACT (Registration and Accommodation Tool)
To use the profile in REACT, various personal information must be provided (surname, first name, gender, nationality, e-mail, postal address, and password). This data is required to enable individualised access to our services. Data processing for this purpose is based on Art. 6. (1) lit. a GDPR (for further details see section 3.4).
REACT Registration for the event
During the registration process, various personal data (name, address, contact details, etc.) are processed. Depending on your booking type and preferences, payment data (account data, credit card data) may also be processed. To verify your eligibility and/or for statistical purposes, you may also be asked to provide professional information, such as current and/or previous profession, field of activity, research, studies, etc. Data processing for this purpose is based on Art. 6 (1) lit. b GDPR. Should the processing of special categories of personal data (e. g. health data or data concerning a natural person’s sex life or sexual orientation) for a specific purpose be necessary, this shall take place exclusively within the narrow limits of Art. 9 GDPR.
1.2.4 What rights do you have as far as your information is concerned?
You have the right to receive information about the source, recipients, and purposes of your archived personal data at any time without having to pay a fee for such disclosures. You also have the right to demand that your data are rectified or eradicated. 3.5 Information on data transfer to the USA

Archiving period
Data on the user or incident level stored by Google linked to cookies, user IDs or advertising IDs (e. g., DoubleClick cookies, Android advertising ID) will be anonymized or deleted after 14 months. 7. Newsletter
7.1 Newsletter data
If you would like to subscribe to the newsletter offered on this website, we will need from you an e-mail address as well as information that allow us to verify that you are the owner of the e-mail address provided, and consent to the receipt of the newsletter. No further data shall be collected or shall be collected only on a voluntary basis. We shall use such data only for the sending of the requested information and shall not share such data with any third parties.
The processing of the information entered into the newsletter subscription form shall occur exclusively on the basis of your consent (Art. 6 (1) lit. a GDPR). 7.2 MailChimp
EMAS 2021 may use the services of MailChimp to send out its newsletters. The provider is the Rocket Science Group LLC, 675 Ponce De Leon Ave NE, Suite 5000, Atlanta, GA 30308, USA.
Among other things, MailChimp is a service that can be deployed to organize and analyze the sending of newsletters. Whenever you enter data for the purpose of subscribing to a newsletter (e. g. your e-mail address), the information is stored on MailChimp servers in the United States.
With the assistance of the MailChimp tool, we can analyze the performance of our newsletter campaigns. If you open an e-mail that has been sent through the MailChimp tool, a file that has been integrated into the e-mail (a so-called web-beacon) connects to MailChimp’s servers in the United States. As a result, it can be determined whether a newsletter message has been opened and which links the recipient possibly clicked on. Technical information is also recorded at that time (e. g. the time of access, the IP address, type of browser and operating system). This information cannot be allocated to the respective newsletter recipient. Their sole purpose is the performance of statistical analyses of newsletter campaigns. The results of such analyses can be used to tailor future newsletters to the interests of their recipients more effectively.
If you do not want to permit an analysis by MailChimp, you must unsubscribe from the newsletter. We provide a link for you to do this in every newsletter message.
The data is processed based on your consent (Art. 6 (1) lit. a GDPR). You may revoke any consent you have given at any time by unsubscribing from the newsletter. This shall be without prejudice to the lawfulness of any data processing transactions that have taken place prior to your revocation.

8.1 Font Awesome (local embedding)
This website uses Font Awesome to ensure the uniform use of fonts on this site. Font Awesome is locally installed so that a connection to Fonticons, Inc.’s servers will not be established in conjunction with this application.

9. eCommerce and payment service providers
9.1 Data transfer upon closing of contracts for services and digital content
Processing of data (customer and contract data)
We collect, process, and use personal data only to the extent necessary for the establishment, content organization or change of the legal relationship (data inventory). These actions are taken based on Art. 6 (1) lit. b GDPR, which permits the processing of data for the fulfilment of a contract or pre-contractual actions. We collect, process, and use personal data concerning the use of this website (usage data) only to the extent that this is necessary to make it possible for users to utilize the services and to bill for them.
The collected customer data shall be eradicated upon completion of the order or the termination of the business relationship. This shall be without prejudice to any statutory retention mandates.
Data transfer upon closing of contracts for services and digital content
We share personal data with third parties only if this is necessary in conjunction with the handling of the contract; for instance, with the financial institution tasked with the processing of payments.
Any further transfer of data shall not occur or shall only occur if you have expressly consented to the transfer. Any sharing of your data with third parties in the absence of your express consent, for instance for advertising purposes, shall not occur.
The basis for the processing of data is Art. 6 (1) lit. b GDPR, which permits the processing of data for the fulfilment of a contract or for pre-contractual actions.
Processing of credit card data
When registering, the attendee will be asked to fill in the online form and provide his/her full name, address, e-mail address and telephone number. The information collected above is required to process and complete the registration (including sending a confirmation e-mail of the booking). If the attendee chooses to pay for the booking(s) by credit card, credit card information (e.g., credit card type and number, CVC code, expiry date, name of the credit card holder) will also be collected. All data will be stored and processed in accordance with the applicable data protection regulations, in particular the General Data Protection Regulation GDPR (Regulation (EU) 2016/679) and the German Federal Data Protection Act (BDSG).
The payment service of Concardis GmbH, Helfmann-Park 7, 65760 Eschborn, Germany, is used for data processing within the scope of the payment procedure for credit card use. A corresponding data processing agreement was concluded.

10 . Digital Conference Platform Tool, Online-based Audio and Video Conferences (Conference tools)
10.1 Data processing
We use online conference tools, among other things, for communication with our attendees before, during and after EMAS 2021. The tools we use are listed in detail below. If you communicate with us by video or audio conference using the Internet, your personal data will be collected and processed by the provider of the respective conference tool and by us. The conferencing tools collect all information that you provide/access to use the tools (email address and/or your phone number). Furthermore, the conference tools process the duration of the conference, start and end (time) of participation in the conference, number of participants and other “context information” related to the communication process (metadata).
Furthermore, the provider of the tool processes all the technical data required for the processing of the online communication. This includes, in particular, IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker and the type of connection.
Should content be exchanged, uploaded, or otherwise made available within the tool, it is also stored on the servers of the tool provider. Such content includes, but is not limited to, cloud recordings, chat/ instant messages, voicemail uploaded photos and videos, files, whiteboards, and other information shared while using the service.
Please note that we do not have complete influence on the data processing procedures of the tools used. Our possibilities are largely determined by the corporate policy of the respective provider. Further information on data processing by the conference tools can be found in the data protection declarations of the tools used, and which we have listed below this text.
Purpose and legal bases
The conference tools are used to communicate with prospective or existing contractual partners or to offer certain services to our customers (Art. 6 (1) lit. b GDPR). Furthermore, the use of the tools serves to generally simplify and accelerate communication with us or our company (legitimate interest in the meaning of Art. 6 (1) lit. f GDPR). Insofar as consent has been requested, the tools in question will be used based on this consent; the consent may be revoked at any time with effect from that date.
Duration of storage
Data collected directly by us via the video and conference tools will be deleted from our systems immediately after you request us to delete it, revoke your consent to storage, or the reason for storing the data no longer applies. Stored cookies remain on your end device until you delete them. Mandatory legal retention periods remain unaffected.
We have no influence on the duration of storage of your data that is stored by the operators of the conference tools for their own purposes. For details, please directly contact the operators of the conference tools.
10.2 Use of Conference tools
At EMAS 2021 we may implement and use OPADE as a digital conference platform tool. The provider of this service is K.I.T. Group GmbH, Kurfürstendamm 71, 10709 Berlin, Germany. For details on data processing, please refer to the privacy policy of OPADE when entering the digital conference platform. Before using the digital conference platform tool, you will be informed about your data protection rights. We will always process your personal data when you visit the platform. This happens in order to guarantee the performance and security of the platform at all times. If you do not log in or register, no additional personal data will be processed.
If you register on the platform, we will additionally process the following personal data:
– Identification data (first name, last name)
– Contact information (email address)
– Institution/company, country, city, registration type, primary area of interest, secondary area of interest, age range and password
– Depending on the specific application, images and photos can be uploaded on the congress platform tool and may be used for communication purposes.
No additional personal data will be processed on the platform, except for the information you provide us to receive a specific service.
In case of any data transmission to the US, this is based on the Standard Contractual Clauses (SCC) of the European Commission. Details can be found at the privacy policy of the respective digital conference platform tool. In the event of use, you will be informed of this separately.
Execution of a contract data processing agreement
We have entered into a contract data processing agreement with the service partner of OPADE and implement the strict provisions of the German data protection agencies to the fullest when using OPADE.
